Position Available:

BILLING SPECIALIST **(Located in Irving, TX)**

ROLE OVERVIEW: Collaborate and manage the Company's invoicing procedures to ensure precise, efficient, and timely billing for optimizing company revenues.

KEY RESPONSIBILITIES:
  • Engage in effective and professional communication with Sales Staff, Production Managers, and Accounting department to facilitate prompt and accurate billing and collections.
  • Collaborate with sales staff and production administration to accurately determine billable revenue for completed and partial-bill jobs.
  • Generate and oversee the creation of invoices in Navision daily, ensuring accurate submission to customers through their preferred channels.
  • Thoroughly review customer PO's and bill-to information to validate details for precise billing.
  • Update customer bill-to records with any new information acquired.
  • Process credit requests from customers, obtain necessary approvals, and issue credit memos as needed.
  • Ensure prompt billing of completed work to customers.
  • Identify and suggest opportunities for streamlining billing processes.
  • Utilize ERP systems for invoice submission and payment follow-ups.
  • Assist team members with diverse tasks such as creating site addresses and contacting customers regarding overdue invoices.

WORK SCHEDULE
  • Ability to maintain a typical Monday through Friday, 40-hour workweek. Occasional extended workweeks might be necessary during peak billing periods. Must be available to work every monthly close week (overtime requires pre-approval).

QUALIFICATIONS AND REQUIREMENTS

Education and Experience
  • High School diploma or GED required; some college coursework is advantageous.
  • Preferably 2+ years of relevant experience in an Accounting, Collections, Sales, or Billing department.
  • Experience with 3rd party billing is desirable.

Knowledge, Skills, and Abilities
  • Proficiency in PC-based software including MS Outlook, Excel, Word, and Internet navigation.
  • Familiarity with automated accounting systems or ERP platforms (e.g., Ariba, Open Invoice); experience with Microsoft Business Central is highly preferred.
  • Aptitude for accurate numerical work and rapid arithmetic computations with keen attention to detail.
  • Ability to conduct professional phone conversations as needed with customers.
  • Possess excellent interpersonal communication skills (written & oral) and a professional demeanor for effective customer and team interactions.
  • Well-organized, capable of multitasking, and working efficiently under limited supervision.
  • Fluency in written and spoken English is essential for clear communication.

  • Clear hearing and speaking abilities.
  • Dexterity for repetitive use of a keyboard and mouse.
  • Visual acuity for prolonged viewing of computer screens containing text, tables, and images.

Working Conditions
