Events & Office Associate Position:

The Madison Area Builders Association seeks a detail-oriented, creative, and motivated Events & Office Associate to join our organization. In this position, support the organization's membership efforts through event planning, setup, and execution in one part of our efforts to continue growing the organization's membership and event revenue streams. This role will also carry administrative and membership growth and retention efforts. The role requires some weekends and evenings for meeting and event attendance and execution.

Approximately 20 hours/week

Highlights of the Events & Office Associate Duties and Responsibilities

Association Events: 50%

  • Develop and maintain a comprehensive event and education calendar for member-to-member engagement/development
  • Manage all marketing material production in support of events through freelancers
  • Develop materials to support sponsorship sales and assist in sponsorship solicitation
  • Event preparation, setup, and breakdown
  • Manage annual sporting clays (twice annually) and golf outings (twice annually).
  • Assist in the management of consumer-facing events, such as Parade of Homes (twice annually), Virtual Parade of Homes (twice annually), and Build & Remodel Expo
  • Assist in managing McKenzie Regional Workforce Center programming with the Boys & Girls Club of Dane County.
  • Create, design and produce all event-related signage in consult with freelancers
  • Provide on-the-ground event support for the duration of the Parade of Homes and other events and meetings.

Office Management/Membership: 45%

  • Maintain office inventory and hospitality supplies, including organizing meals/drinks for meetings
  • Maintain clean and organized office and storage areas
  • Mailings, copies, answering phones, customer service, meeting preparation, and other support functions
  • Manage Membership Directory, database, and membership updates
  • Process new, dropped, and renewed memberships in systems
  • Execute Membership Touch-point system and outreach to new and existing members
  • Monthly Membership Reporting and Reconciliation
  • Membership Recruitment and Retention
  • Other office duties as assigned

Other Duties as Assigned: 5%

Events & Office Associate Requirements:

  • Strong Social/Digital Media interest preferred
  • Degree or related work experience (1-3+ years) in event management, business or other related fields preferred
  • Familiarity with membership organizations
  • Proven track record of success
  • Experience in vendor management
  • Proven experience in Event Planning and execution
  • Ability to multi-task and make sound business decisions
  • Valid Driver's License and transportation
  • Ability to work nights and weekends to meet MABA event needs
