Duties will include:

Procure and deliver goods and services: Coordinate the day-to-day operation of a retail or non-retail operation and/or may assist college/divisions, departments and units in evaluation, negotiation and procurement of goods and services. Responsibilities may include sales, controllable expenses, cash management, and merchandising, identification of supply options, inventory control, loss prevention and store appearance. Make recommendations on what and where to buy product and/or service.

    • Generate reports for contracts and make suggestions on ensuring items are on contract.
    • Create data tools and processes in regards to contract management.
    • Assist product representatives in attaining ideal contract pricing by providing benchmarking and competitive analysis.
    • Maintain item master.
    • Develop strong customer based relationships.

Research Products; Prepare Product/Equipment Specifications, and Contract Management: Perform product research and utilization analysis. Prepare product or equipment specifications. Make recommendations and procure product or service, and prepare product or equipment specifications. Assist with the implementation of policies. Monitor contracts. Support product negotiations, contract pricing, and terms and conditions within established guidelines on behalf of unit, dept. and/or organization.
    • Effectively create and use analytical tools.
    • Generate and create reports for items on contract/not on contract and continually search for process improvement and ensure accurate data in our systems.
    • Use all available product/company data sources to provide value suggestions to end users and effectively guide negotiations.
    • Adhere to the conflict of interest policies.
    • Use PeopleSoft query to run created queries, to create individual queries as requested and to review spend by commodity.
    • Build tools and utilize Excel for analyzing data.
    • Knowledge of summary functionality, sorting data, data comparison, report creation.

Inventory Management and Marketing: Oversee inventory controls; determine reorder amounts. Manage merchandise assortment and new production information. Analyze sales trends and make recommendations to optimize sales utilizing merchandising strategies.
    • Receive, inventory, return and account for vendor tray/instrumentation usage.
    • Make software interface item updates.
    • Knowledge of inventory management software.
    • Create data tools to monitor and resolve receipt and match exceptions.
    • Marketing: Assist in new bid process by providing relevant data sets and information. Analyze trends and make recommendations.
    • Assist with financial analysis of supplier contracts and proposals.
    • Communicate professionally, proficiently, clearly, and influentially, verbally and in writing with customers.
    • Answer questions accurately and timely.
    • Understand appropriate use of email versus live communication.

Vendor and Customer Relations: Interact with vendors/suppliers to determine product selection and negotiate terms of the purchase. Resolve customer concerns.
    • Analyze vendor performance.
    • Facilitate competitive contract negotiation and resolve disputes.
    • Enable vendor/end user interactions and follow up.
    • Maintain excellent customer service with departmental customers and vendors.

Data Management or Data Systems Development: Assess and enhance production software support for inventory management.
    • Analyze inventory systems and suggest potential cost savings opportunities.
    • Create multi-department data sets to suggest opportunity for standardization.
    • Generate data sets using system queries to provide tools/reports to resolve end user issues.

Fiscal Responsibility: Determine inventory investments; administer the budget, recommend operational policies and procedures. May assist in budget development and provide projects and recommendations.
    • Build data reports to assist Product Representatives in achieving best possible pricing.
    • Create benchmarking analyses utilizing various data software.
    • Develop data sets to locate/resolve pricing discrepancies.

Leadership/Supervision: May provide functional and/or administrative supervision of staff. Provide direction, assignments, feedback, coaching and counseling to assure outcomes are achieved.
    • Consult and partner with hospital customers to discuss, evaluate and plan for current and future needs.
    • Provide training to hospital supply end users on procurement process.
    • May provide functional and/or administrative supervision of staff.
    • All other duties as assigned.
    • Full understanding and utilization of Outlook email and calendar system. (See employee manual)
    • Respond to emails and meeting requests appropriately and timely.

Required Qualifications
  • A Bachelor's degree in Business Administration or related field or an equivalent combination of education and experience is required.
  • 1-3 years of related supply chain experience.
  • Excellent written and verbal communication skills.
  • Proficient in MS Office Suite with an emphasis on Microsoft Excel.
  • Excellent interpersonal skills, creating working relationships with team members such as surgeons, vendors, and staff.
  • Attention to detail and organizational skills.
Desirable Qualifications
  • Some knowledge of University policies, procedures and regulations.
  • Strong team-building skills and experience working in a consensus environment.
  • Knowledge of supply chain management and operational improvement in a hospital setting.
  • Experience with creating data tools and contract data management for end users.
  • Utilize PeopleSoft, EPIC, Tableau and Microsoft Access.
