Job Title: Clerical 5- Administrative/ Executive/ Office Assistant

Supervisor: Principal/ Directors

Job Classification: Non-Exempt

Contract Length: 260 days

Job Summary
Performs intermediate skilled administrative clerical and related work support to principal or directors. Work is performed under the supervision of the principal or directors.

Essential Duties
  • Performs a variety of administrative and/or secretarial support activities for supervisor.
  • Opens and reviews all incoming mail; answers inquiries and composes correspondence on own initiative on general matters in accordance with established guidelines and forwards other items to supervisor or appropriate staff.
  • Supports the principal in maintaining the daily record of staff attendance to include securing staff through the use of HRIS.
  • Screens visitors and adheres to security protocols.
  • Provides general school information, and directs inquiries to the appropriate staff or department when necessary.
  • Plans and arranges conferences or meetings under general instructions from supervisor or assigned staff; communicates arrangements to appropriate individuals.
  • Prepares correspondence, or reports; corrects grammar, spelling and punctuation errors; edits wording without changing intended message.
  • Maintains calendar(s) for assigned staff, regularly prioritizing and arranging meetings, conferences and appointments; arranges necessary travel reservations and itineraries; anticipates and prepares background materials needed.
  • Performs other such duties as may be required.
  • Models non-discriminatory practices in activities.

Minimum Qualifications (Knowledge, Skills and/or Abilities Required)
Strong technology skills (email, electronic calendars, internet based programs, webinars), proficient with Microsoft Office especially Excel for use in budget spreadsheets, knowledgeable of office procedures and office equipment, demonstrated proficiency in professional interaction with various community members, team-player, self-directed, strong organizational skills, strong professional work ethics, deadline and task oriented, good communication skills, balance multiple demands, problem-solver, and independent learner. General knowledge of business English, spelling and arithmetic; general knowledge of school system routines; general knowledge of basic first aid practices; ability to develop and follow detailed work procedures; ability to type accurately and at a reasonable rate of speed; ability to meet the public effectively; ability to establish and maintain effective working relationships with school officials, parents, students, teachers, support staff and associates.
High school diploma or GED and moderate experience in record keeping, bookkeeping, school terminology, reception and clerical work, or equivalent combination of education and experience. Associates/Technical degree preferred.

Working Conditions and Physical Requirements
Must have the ability to sit and stand for extended periods; exhibit manual dexterity to dial a telephone, to enter data into a computer, to see and read a computer screen and printed material with or without vision aids; hear and understand speech at normal office levels, outdoors and on the telephone; speak in audible tones so that others may understand clearly in normal classrooms, outdoors and on the telephone; physical agility to lift up to 25 pounds; and to bend, stoop, climb stairs, and reach overhead.

Work Environment
This work requires the occasional exertion of up to 25 pounds of force; work regularly requires repetitive motions, frequently requires sitting, speaking or hearing, using hands to finger, handle or feel and reaching with hands and arms and occasionally requires standing, walking, stooping, kneeling, crouching or crawling, tasting or smelling, pushing or pulling and lifting; work has standard vision requirements; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; work requires preparing and analyzing written or computer data, visual inspection involving small defects and/or small parts, operating machines and observing general surroundings and activities; work occasionally requires exposure to blood borne pathogens and may be required to wear specialized personal protective equipment; work is generally in a moderately noisy location (e.g. business office, light traffic).
