The Santa Clarita Community College District/College of the Canyons is seeking a full-time Workers' Compensation Coordinator in the Human Resources Department.


Reporting to and under the supervision of the Director, Recruitment and Employee Services, the Coordinator coordinates the day-to-day administration of the District's Workers' Compensation and Workplace Safety Programs.

Serves as liaison between the District and the employee, supervisor, Workers' Compensation insurance carrier, and other relevant outside agencies regarding work-related injuries and workplace safety.

Responsible for ensuring compliance with state regulations, facilitating timely claims processing, and supporting employees throughout the workers' compensation process. Performs other duties as assigned.
The duties listed below are intended only as illustrations of the various types of work that may be performed.

  • Serves as resource for staff on workers' compensation and workplace safety matters, keeping managers, supervisors and staff updated on safety issues and changes, giving information where judgment, technical knowledge and interpretation of policies, procedures and regulations are necessary. Answers questions, researches and provides information, insurance claim and contract interpretation assistance; responds to and assists employees with eligibility requirements and resolution of complaints and problems with insurance and health providers.
  • Ensures currency of information in applicable databases and on District websites; extracts and compiles data from information systems; prepares reports and records utilizing word processing and spreadsheet software; processes year-end reports.
  • Serves as District liaison for reporting of all work-related injuries. Administers new claims processing and online claims reporting. Tracks all work-related injuries, prepares OSHA reports, and maintains Cal OSHA log reporting.
  • Maintains currency of knowledge of state, federal and institutional regulations, policies and procedures concerning workers' compensation; attends meetings and seminars and reviews current literature. Generates bulletins and other memoranda as changes occur or needs dictate and provides guidance to staff regarding workers compensation.
  • Serves as the liaison between the District and medical professionals/facilities and our workers' compensation insurance carrier, coordinating treatment and ensuring quality medical care for employees and timely processing of claims.
  • Tracks leaves for injured employees and prepares all necessary correspondence with the employee regarding their injury and leave status.
  • Assists with making recommendations regarding settlement and disposition of workers' compensation cases.
  • Coordinates or conducts investigations and inspections as necessary, to reduce fraudulent and/or frivolous claims.
  • Maintains the Workers' Compensation Claims Historical Database and Safety Training Database. Maintains detailed records of accidents and confidential medical files.
  • Coordinates payment of temporary disability (TD) checks/benefits, and the use of savings from TD Benefits to hire replacement employees. Works with managers and fiscal services to ensure coverage during absence.
  • Maintains a proactive campus First Aid Program working closely with the District's health center staff to treat minor injuries onsite and reduce claims.
  • Coordinates the return-to-work program, including the use of our Employee Assistance Program, interactive/reasonable accommodation meetings and documentation, and evaluating the availability of modified/light duty work assignments. Maintains a database of light duty assignments to ensure consistent application of policy.
  • Creates workers' compensation and safety plan goals and objectives and meets those objectives in a timely way.
  • Organizes and maintains all employee workers' compensation files.
  • Assists the Director in developing, updating, and maintaining applicable board policies, and administrative procedures and implementing action items related to workplace safety, ensuring adherence to HIPPA and ever-changing workers' compensation legislation.
  • Assists the Director in reviewing proposed laws and regulations, codes, and ordinances that affect the workers' compensation claims program of the District.
  • Coordinates a formalized safety training program for all employees and supervisors. Administers proactive and timely training. Coordinates applicable safety training for new employees as part of the onboarding process.
  • Provides campus training and updates on the District workers' compensation program as needed.
  • Serves as a member of the District Workplace Safety Committee and communicates the importance of safety district wide.
  • Coordinates ergonomic and workstation evaluations, and purchases necessary equipment.
  • Ensures currency of workplace safety manuals and postings in hazardous areas, and proper use of protective equipment.
  • Attends training on workers' compensation issues to remain current.
  • Initiates correspondence or receive and make telephone inquiries to obtain, verify and provide information as necessary.
  • May assign and review work of college assistant and adult hourly personnel/short-term employees.
  • Other duties as assigned.

Minimum Requirements:

Experience:


Three (3) full-time equivalent years of experience in Human Resources, including workers compensations responsibilities which would demonstrate the knowledge, skills, and abilities necessary to perform the duties that are essential to this position.


Education:
Successful completion of an Associate's Degree from an accredited institution.

Two years of direct experience in addition to that identified above may be substituted for each year (30 units) of college required.

  • Organize complex processes with great efficiency.
  • Maintain detailed and accurate records and databases for reports and for auditing purposes.
  • Work effectively and demonstrate currency of knowledge with computers and other forms of advanced technology utilized in providing high-quality services.
  • Type with speed and accuracy using word processing, spreadsheet and other business-related software. Make accurate mathematical calculations.


Sedentary position requires the use of a computer and related equipment for extended periods; frequently exerting 10 to 20 pounds of force to move objects; communicating and providing information to others; and working outside on all parts of the campus and in varying weather conditions.

In the event of an emergency, employees will be relied upon to serve as emergency service workers.
