Job Description
Administration Manager:
Accurately complete immigration, customs and logistics paperwork in a timely manner, declaring all necessary items onboard and producing daily stock reports when required. Produce guest arrival and disembarkation reports for each port authority in their required format, adhering to strict deadlines, and distribute guest information to other relevant departments onboard. Ensure efficient arrival and departure clearance.
Act as the main point of contact for port authorities during ship visits and ground agents when in port, building professional relationships. Manage the smooth operation of passport control and immigration for guests. Ensure all documentation including passports and landing cards comply with port and visa regulations, all health requirements are met, and strict port deadlines are adhered to prior to arrival. Oversee embarkation procedure and supervise the check in process to confirm that all guests are onboard. Ensure passports are stored safely and securely and are presentable to authorities on request. Ensure all guest data held on board is complete and accurate.
Ensure immigration and local requirements affecting the onboard operation are shared onboard in a timely fashion for effective planning of resources and to have information readily available for guest communications.
In the event of a medical emergency, arrange for an ambulance to meet the ship in port and book flights if required for affected guests.
Assist daily with front of house office coverage and support the reception team during low demand itineraries.
Night Duty Manager:
Support Reception through the night shift, ensuring the night duties are completed, and monitor crew areas ensuring quiet hours are observed. Monitor guest services areas overnight, including supervising room service and ensuring bars are closed down correctly. Deal with all guest feedback and accommodation issues at night, ensuring that all follow up action is documented accurately. Liaise with the Reception Manager on outstanding issues on a daily basis, ensuring an effective handover is achieved.
Monitor the nightly closure of the Casino; ensuring corporate guidelines are adhered to. Make sure hotel areas including open decks, are set up as required for the start of the next day. Ensure that preparations are in place to receive port officials on arrival into port. Handle any issues that arise out of hours such as flight delays, medical emergencies and provide relevant paperwork in cases of early arrival into port.
Run settlement reports and folios for disembarking guests and audit the float of the night receptionist. Effectively monitor hotel systems over night, ensuring reports are comprehensive, accurate and timely. Liaise with the technical department to resolve urgent issues and report other issues for escalation to relevant managers in the morning.
Where required, monitor the housekeeping and presentation of public rooms and open decks, overseeing the use of hotel consumables by the night cleaning team and meeting guest housekeeping requests during the night.
Key skills and experience
- Proven office administration experience onboard a cruise ship is preferred
- Previous experience of managing a team in a customer facing role, preferably within a 5 star hotel or resort
- Previous experience in clearance is required
- Excellent computer skills, proficient in the use of MS office software
- Excellent planning and organisation skills
- Knowledge of immigration procedures is highly preferable
- Good command of written and spoken English
